Transfer Price Master

Transfer Price Master

Transfer Price Master Module - User Guide

1. Introduction πŸ“

The Transfer Price Master module is used to define and manage the internal pricing of items when they are transferred between different business units, branches, or warehouses within the organization. Unlike customer-facing sales prices, transfer prices are tailored for inter-unit stock movements and internal accounting.

ℹ️

In the overall business flow:

  1. It defines the Cost Basis for inter-branch stock transfers.
  2. It tracks RSP (Retail Sale Price) and NRP (Net Realizable Price) for regulatory and valuation purposes.
  3. It ensures Marginal Consistency across different organizational units.

Typically, this module is managed by Cost Accountants and Finance Managers.

2. Getting Started with Transfer Price πŸš€

Accessing the Module

Navigate to the Transfer Price Master Index via the Inventory or Finance Setup menu.

The Index View

The index provides a searchable list of items with their current Transfer Price and the date it became effective (WEF Date).

3. Features ✨

πŸ“… Date-Versioned Pricing (WEF)

Prices are not just “set”β€”they are phased in using a With Effect From (WEF) date. This allows you to:

  • Pre-plan price changes for the next fiscal quarter.
  • Maintain a complete historical record of how prices have changed over time.
  • Ensure that old transactions aren’t affected by new price updates.

πŸ’° The Pricing Trio

For every item, you can maintain three distinct values:

  1. Transfer Price: The internal cost used for the inter-unit transaction.
  2. RSP: The maximum Retail Sale Price.
  3. NRP: Net Realizable Price, used primarily for inventory valuation and tax calculations.

πŸ“Š Bulk Excel Operations

Designed for high-volume updates, the module features a comprehensive Import/Export suite:

  • Download Model: Generates a pre-formatted Excel template with embedded instructions.
  • Validation Engine: Scans uploaded files for data errors, duplicate item IDs, and chronological date conflicts.
  • Error Reporting: If an import has issues, the system provides a detailed “Feedback Excel” where each row is tagged with specific error codes.

4. Related Reports πŸ“Š

  • πŸ’° Transfer Price Master Report: Export the entire current pricing table for audit and bulk price review (accessible via the Transfer Price Master Index).

5. Complete Flow πŸ”„

Select the Item

  • Browse the Item Master to select the product requiring a transfer price.

Define the Price and Date

  • Enter the Transfer Price, RSP, and NRP.
  • Set the Apply From Date.
    • Note: This date must be later than the last recorded price date for this item.

Bulk update (Optional)

  • Use the Import feature for seasonal or annual price revisions.
  • Upload the filled Excel model.
  • Review the Import Result Report to confirm successful updates or fix “Red-flagged” errors.

Transactional Application

  • The system automatically picks the Transfer Price during inter-unit transfers based on the transaction date vs. the WEF date.

6. Validations and Error Codes ⚠️

Individual Entry Validations

  • Chronology: “Apply From Date” must be after the last record’s date.
  • Uniqueness: Multiple prices cannot exist for the same item on the exact same date.

7. Best Practices / Tips πŸ’‘

  • Pre-Planning: Always upload your new fiscal year prices at least a week in advance using the WEF feature.
  • Keep the Model: Don’t change the column headers in the Download Model Excel file, as the system relies on them for mapping.
  • Audit Notes: Use the Notes field in the creation screen to document why a price was changed (e.g., “Adjusted for raw material hike”).

8. Technical Observations πŸ”

  • Precision: Prices are stored and validated up to 4 decimal places.
  • File Handling: Standard CSV/Excel reading with automated cleanup of temporary S3 files.
  • Soft Reference: The system uses the ItemId as the primary key for lookups during Excel imports.
