1. Introduction 📝

The Indent Analysis Report is a critical tool for the Procurement and Supply Chain departments. It tracks internal purchase requisitions (Indents) from the point of creation to their conversion into a Purchase Order or Goods Receipt.

Purpose of this Report:

  • Pipeline Visibility: Monitor all active and historical purchase requests.
  • Lead Time Management: Identify delays in the procurement cycle using color-coded aging.
  • Fulfillment Tracking: Ensuring that critical raw materials or components are ordered on time.
  • Audit Trail: Review authorization status and specialized project notes for each request.

This module is primarily used by Purchase Managers, Store Keepers, and Production Planners.


2. Report Types & Performance Indicators 🚀

A. Pending Indent Report

  • Purpose: Focuses on unfulfilled requisitions that are still in the pipeline.
  • Unique Feature: Visual Aging System:
    • The system compares the Aging (days since request) against the Lead Time (expected fulfillment window) to assign a status color:
    • đŸŸĸ Green: Under 33% of Lead Time (Safe).
    • 🟡 Yellow: 33% to 66% of Lead Time (Monitor).
    • 🔴 Red: 66% to 100% of Lead Time (Urgent).
    • âšĢ Black: Exceeding Lead Time (Escalate).
  • Key Data: Required-by Date, Expected Date, Aging Days, and Fulfillment status.

B. Indent Register Report

  • Purpose: A comprehensive history of all indents created within a specific date range.
  • Currency Flexibility: Can be viewed in Base Currency (INR) or Foreign Currency for imported components.
  • Key Data: Indent Number, Item/Brand details, Qty, Rate, Amount, and specific Procurement Notes.

3. Data Visibility & Insights 🔍

4. Source Transactions 🔄

The report engine integrates data from the following transaction points:

  1. Purchase Indent: Primary source for requirements and quantities (Indent, Indent1).
  2. Purchase Status: Tracks the lifecycle stage of each request (Indentstatusmst).
  3. Goods Receipt (GRN): Used to identify which indents have been fulfilled and should be removed from the “Pending” list (Grn1).
  4. Inventory Master: Provides lead times, UOM conversions, and category details (Inventorymst).

5. Using Global Filters đŸ› ī¸

  • Report By: Narrow your analysis by Party Group, Party Name (for vendor-specific indents), Item Group, or a specific Item.
  • Unit Filter: Run a consolidated report for “All Units” or focus on a specific manufacturing location.
  • Authorization Status: Filter by isauth (Authorized/Wait) to track requests awaiting manager approval.

6. Best Practices / Tips 💡

  • Identify Critical Bottlenecks: Regularly filter the Pending Indent Report for Black and Red color codes to prevent production shutdowns due to missing materials.
  • Validate Lead Times: If items consistently show up as “Black” despite prompt ordering, the Lead Time in your Item Master may need to be updated to match current market conditions.
  • Alternate UOM Monitoring: In the Indent Register, pay close attention to the Qty1 (Alternate Qty) column if you buy in one unit (e.g., Tons) but consume in another (e.g., Kilograms).
  • Notes Audit: Review the Non-Standard Note column for any special instructions or deviations requested by the user.
