QR code integration is a major 2024 update, transforming your warehouse into a digital-first environment. It eliminates manual entry and provides 100% accurate batch-level tracking.

1. Overview 📡

QR code integration is a pillar of the ErpCrystal Manufacturing system, designed to eliminate manual data entry errors and provide real-time traceability for every item from production to the final customer. By tagging unique identifiers to physical goods, the system creates a digital twin for every batch or unit.


2. How it Works (The Lifecycle) 🔄

A. Generation đŸ–¨ī¸

QR codes are typically generated at the entry point of the item into the system.

  • GRN (Goods Receipt Note): Upon receiving raw materials, unique QR codes are generated for each batch/unit.
  • Daily Production: As finished goods (FG) are manufactured, QR labels are printed and attached to the product or pallet.
  • Opening Stock: Admins can use the QR Opening Stock Import feature to generate QR codes for existing untagged stock.

B. Scanning & Consumption đŸ–ąī¸

During subsequent transactions, the QR code is scanned to “pull” the data automatically.

  • Production Consumption: Scan a raw material’s QR to deduct it from inventory for a production plan.
  • Inter-Store Transfer: Scan items to ensure the correct batch is being moved to another warehouse.

C. Dispatch & Sales 🚚

  • QR-Based Invoice: When preparing a dispatch, the storekeeper scans the product’s QR. This ensures the system only invoices what is actually physically loaded. This is critical for preventing “wrong item” shipments.

3. Connected Modules 🔗

The QR ecosystem is deeply integrated into:

  1. GRN (Enhanced GRN): Core record for batch-level traceability.
  2. Daily Production: Real-time production quantity verification.
  3. Bill / Invoice: Automated line-item entry from physical scans.
  4. IIRS (Internal Requisition): Verifying issued quantities on the shop floor.
  5. Stock Reconciliation: Comparing physical QR scans against system book balances.

4. QR-Specific Reports 📊

A. Transaction-Wise QR Report

  • Displays the full history of a specific QR code, from its creation date to its movement across stores and its final consumption or sale.

B. QR Inventory Aging Report (Age-Wise)

  • Computes how long each QR-tagged unit has been sitting in stock.
  • Helps implement FIFO (First-In, First-Out) by identifying the oldest batches that need to be consumed or sold first.
  • Can be filtered by FG (Finished Goods) or RM (Raw Materials) categories.
